A specialty parts supplier was manually preparing vendor emails whenever new orders needed to be sent. The process meant identifying the vendor, composing the appropriate message, locating the relevant order files and attaching them individually.
It wasn’t a complicated process — but it was repetitive, time-consuming and prone to small errors.
A lightweight tool built around an existing workflow
We built a small desktop utility that handles the workflow automatically. The user selects a folder containing the relevant order files, and the application:
- Reads the order sheet filenames.
- Identifies the appropriate vendor.
- Generates the appropriate email content.
- Opens a new Outlook draft.
- Adds the correct recipient.
- Attaches the relevant files.
What previously required several manual steps became one:
Select folder → review email → send.
Less administration without another platform
A small piece of software removed a repetitive administrative process without requiring the supplier to adopt another large platform.
Not every problem needs a system. Sometimes it needs a small tool that removes the friction entirely.
